About the Directory of Records
The Directory of Records is a publication required by the Freedom of Information and Protection of Privacy Act (FIPPA). It describes Ontario Government ministries and agencies covered by FIPPA, the types of records maintained by these institutions and the telephone number and address of each institution's Freedom of Information and Protection of Privacy Coordinator.
The Directory of Records is available in English and French to assist individuals in locating government records maintained by institutions covered by FIPPA. This website is updated daily to reflect any changes in government organizations soon after they occur.
The Directory of Records classifies government record holdings into the following categories:
- General Record - any record not considered to be a personal information bank or a public record.
- Personal Information Bank - a collection of personal information that is organized and can be retrieved by an individual's name or some other personal identifier.
- Public Record - a record containing personal information that is available to all members of the public on an equal basis.
- Common Record - a personal information bank that is common to more than one organization.
Access to Government Records
Certain information may be withheld under one of the specific exemptions outlined in FIPPA. These exemptions include:
- cabinet records;
- records containing certain law enforcement information;
- records that could prejudice intergovernmental relations;
- personal information that could invade the privacy of an individual;
- certain records supplied in confidence by a third party.
A record must be disclosed to a requester unless it falls within one of the exemptions.
Personal Information and Privacy
Government ministries and agencies collect personal information from and about individuals in the course of their operations.This information covers a wide range of subjects and is used to administer programs and activities.
FIPPA gives individuals a right of access to their personal information subject to certain specific exceptions. At the same time, FIPPA safeguards an individual's privacy by protecting this information from unauthorized disclosure to others.
Individuals who are given access to their personal information also have the right to request correction of that information if they believe it to be inaccurate.
